How much space do you need for an email address
It is one of the Frequently Asked Questions in our knowledge base, how much space you should set for your mail address. As a novice webmaster, it may still be somewhat unclear how exactly this works. Therefore, we cover this in this blog post in more detail. And we hope to answer all your questions. Let's get started!
An email address is still an essential part of any business, organization or personal use. An email address allows you to record appointments, contact a client or other business. And record things in writing. For personal use, you can simply use the email address to sign up for other websites, exchange personal mail and join your favorite newsletters.
So for both personal and business use, an email address is still applicable, and has been for more than 30 years. Or 50 years if you count the very first email.
What is the limit of the hosting package chosen
We have a number of flexible packages at MijnHostingPartner.nl, from specialized hosting for .NET (Core) developers. And just for the starter the Total SSD package where a wide selection of Content Management Systems can be installed on it. The Total SSD package is our most popular package, and comes standard with 25 GB of disk space that you can use and configure as you wish. This is a limit which applies to the total space used. If you allocate 5 GB to 1 email address, you still have 20 GB left for your database, website files and other things. Most users do not achieve this. Since a website with years of content has to work hard to get over 1 gigabyte. When you start using videos on your website, it is often a different story.
So look at your usage, you can see how much space you are using everywhere with us. Through extensive reporting in the mail, and through the regular tools for website data.
25GB can last for years though, in both stored mail and website data.
How many years of mail can be stored?
Let's assume that you use an email address for receiving newsletters, contact between customers and further registration on websites. A sample account we include does exactly that, and currently has 889 messages in the email address. There is currently with those 889 messages: 72.3 MB, megabytes consumed in total space. So if you are someone who likes to keep his mail in order and delete read newsletters, which is most of these messages. So you can store years of mail with an email address that has 5 GB allocated to it.
You can also take a look at an existing Gmail or outlook/ live address you may still have lying around. Here I see for example in my personal Gmail account used since 2014, current 1.29 GB of data stored.
This is what happens when the mail account becomes full
The size of your email address which is thus created in hosting is entirely up to you, you simply enter it while creating the email address in the corresponding field. Or go to the next option once an email address has been created:
You can then always see in our webmail how much space is currently used for it. As domain administrator you can also see this for all used accounts. Which is useful within an organization or family.
Once your mail address begins to run out you will receive a standard mail about this from our mail server, you will see increasing as you use more data the next mail comes in:
Which warns you that your email address is getting full, the worst scenario is that you ignore this, and the email address becomes completely full. Receiving and sending messages can then produce error messages and messages can no longer be received. So don't let this happen, and as soon as you see the notification appear, take some steps to increase it. This can easily be done in the customer panel again, in the same place where you created the email address. And depending on your total usage, you can thus increase this. Once you reach the limit of the package you can free up space by archiving older messages locally and then deleting them. Or you can simply upgrade with an add on that gives you more space. No disaster as long as you keep an eye on it.
Normal and intensive users of email
There are of course a lot of hooks and eyes on what exactly you need, but most users will have to do their best to exceed the 5 GB of an email address. Are you one of those large users who needs more? Then you can always expand where necessary.
